Your payments to S2 Destinations are non-refundable once paid.
After final payment, refunds are limited and reach zero based on booking rules from the hotel, cruise agency, etc.
Travel insurance is strongly recommended and is yours to purchase.
We arrange your trip with independent airlines, hotels, and operators. We are not those companies and do not control them — see Section 2.
Valid passports, visas, and required vaccinations are your responsibility — see Section 10.
01 Who this agreement is between
These Booking Terms & Conditions (the “Terms”) are a binding agreement between you (the “Traveler,” “you,” “your”) and S2 Travel, LLC doing business as S2 Destinations (“we,” “us,” “our,” the “Agency”), together with its members, managers, officers, employees, independent contractors, agents, and trip hosts.
By submitting a deposit or any other payment, completing a booking or registration form, or participating in a trip, you confirm that you have read, understood, and agree to these Terms.
If you book on behalf of other travelers, you represent that you are authorized to accept these Terms for each of them, that you have given each of them a copy, and that you are responsible for collecting and remitting their payments and for passing along all trip communications.
These Terms apply in addition to — not instead of — any separate liability waiver, registration form, or supplier terms you sign. Where a signed trip-specific agreement conflicts with these Terms, the signed trip-specific agreement controls for that trip.
02 Our role: we act as your agent, not as the travel provider
We are a travel agency. We arrange and coordinate travel services that are delivered by independent third-party suppliers — airlines, cruise lines, hotels, ground operators, tour guides, transfer companies, restaurants, activity providers, and local agencies.
We are not the owner, operator, or employer of any of these suppliers, and we do not control their vehicles, vessels, equipment, premises, staff, schedules, or safety practices.
Your use of each supplier’s services is governed by that supplier’s own terms, conditions, and contracts of carriage, which may limit their liability to you. Those terms are available on request and are incorporated into your booking.
Accordingly, we are not liable for any loss, injury, illness, death, delay, damage, expense, or inconvenience caused by the act, omission, negligence, default, insolvency, bankruptcy, or breach of any third-party supplier, or by any event beyond our reasonable control.
03 Booking and deposit
A booking is confirmed only when we have received your completed registration form, your signed waiver and assumption-of-risk agreement, and your deposit in cleared funds — and we have sent you a written confirmation. Space is not held for you before that.
The deposit each trip can vary. Deposits are non-refundable and non-transferable except as expressly stated in Section 8.
Names on your booking must exactly match the machine-readable name on the passport you will travel with. Corrections made after ticketing may incur airline or supplier fees, passed to you at cost plus $50 per change.
04 Payment schedule
Payment is by credit or debit card via our secure Stripe checkout, and any other methods offered in our payment link.
If a payment schedule is not received by its due date, we may treat the booking as cancelled by you and apply the cancellation charges in Section 7. We will attempt to reach you at the email and phone number on your registration form first, but late payment can result in loss of your space, your air fare, and your deposit.
Bookings made within 30 days of departure require payment in full at the time of booking.
05 What the price includes and excludes
Read the tour flyer and you are responsible to understand the inclusion and exclusions before making any payments.
06 Prices, currency, and surcharges
Prices are quoted in U.S. dollars and are based on costs, exchange rates, tariffs, taxes, and fees in effect of the first of the month.
Quoted prices are not guaranteed until your booking is confirmed and paid under Section 4. Before your booking is paid in full, we reserve the right to adjust the price for increases in supplier costs, government taxes and fees, fuel surcharges, currency exchange movement, or the correction of an error.
Pricing errors
Obvious errors in pricing — on our website, in an email, in a flyer, or at checkout — are not binding. If we discover an error and it is larger than 20% of the trip price, we will notify you promptly and you may either pay the corrected price or cancel for a full refund of what you paid.
Single supplement
Trip pricing can be based on double occupancy. Travelers booking alone pay a single supplement, or may request a roommate match. We will make a reasonable effort to match roommates but cannot guarantee a match; if no match is found by 90 days before the trip, the single supplement becomes due.
07 If you cancel
All cancellations must be sent to us in writing at help@s2destinations.com. Cancellation takes effect on the business day we receive your written notice.
The scheduled charges reflect payments we have already committed to suppliers on your behalf and are not a penalty.
Separately, and regardless of the schedule above:
Airline tickets, once issued, are governed by the airline’s own rules and are frequently non-refundable. Any airline refund or credit is subject entirely to the airline’s terms.
Non-recoverable supplier deposits for hotels, ground operators, and permits are not refunded, even where the schedule above would otherwise allow it.
Unused portions of a trip — a missed flight, a skipped excursion, an early departure, a late arrival — have no refund value, regardless of cause.
Cancelling one traveler in a shared room makes the remaining traveler responsible for the single supplement.
If applicable, refunds are issued to the original form of payment within 30 days of the date we confirm the refund amount, and only after we have received corresponding refunds from suppliers where applicable.
08 If we cancel or change the trip
Minimum group size
Trip sometimes require a minimum of paying travelers. If that minimum is not met, we may cancel the trip and will notify you no later than 60 days before departure. In that case you will receive a full refund of all amounts paid to us. That refund is our entire responsibility to you — we are not responsible for airfare you booked independently, visa fees, vaccination costs, insurance premiums, or other expenses you incurred in reliance on the trip. This is a primary reason we ask you to buy travel insurance and to book independent air only after we confirm the trip is operating.
Itinerary changes
Itineraries are planned well in advance and are subject to change. We reserve the right to substitute hotels, guides, activities, routes, meals, and the order of days for reasons including supplier availability, weather, road and port conditions, local events, safety, and group size. We will make substitutions of comparable standard where reasonably possible. Minor changes do not entitle you to a refund or cancellation.
Force majeure
We are not liable for any failure or delay in performance, and owe no refund beyond amounts we actually recover from suppliers, where the cause is beyond our reasonable control. This includes war, civil unrest, terrorism, crime, strikes and labor disputes, government action, border closures, entry restrictions, epidemic or pandemic, quarantine, natural disaster, extreme weather, wildfire, flood, earthquake, volcanic activity, fire, mechanical failure, air traffic control disruption, supplier insolvency, and any advisory or restriction issued by a government authority.
Removal from the trip
We may decline, or remove you from, a trip at any time if your conduct or condition, in our reasonable judgment, endangers or unreasonably disrupts you, other travelers, staff, or suppliers. No refund is due, and you are responsible for all costs of your return travel and any resulting expenses.
09 Travel insurance
We strongly recommend that every traveler purchase comprehensive travel insurance at the time of deposit.
Appropriate coverage should include trip cancellation and interruption, emergency medical treatment abroad, emergency medical evacuation and repatriation, baggage loss and delay, and travel delay. If your reason for cancelling matters to you, consider a “cancel for any reason” policy — standard policies cover only listed reasons.
Most U.S. health plans, including Medicare, provide little or no coverage outside the United States. Medical evacuation from a remote area can cost tens of thousands of dollars and is generally payable in advance.
Some benefits, including pre-existing condition waivers and “cancel for any reason” coverage, are available only if you purchase within a short window — often 10 to 21 days — after your first trip payment.
Do not assume we are licensed insurance agents. We are not responsible for any coverage decision, claim denial, or gap in coverage. Read your policy.
By declining travel insurance, you accept full financial responsibility for any loss that insurance would have covered, including the cancellation charges in Section 7.
10 Passports, visas, entry requirements, and health
You are solely responsible for obtaining and carrying valid travel documents.
Passport: most destinations require a passport valid for at least six months beyond your return date, with at least two blank visa pages. Check your expiration date today.
Visas and entry authorizations: requirements depend on your citizenship and change without notice. Entry rules for various destinations have changed in recent years, including electronic visa requirements for some nationalities. Verify your own requirements directly with each country’s consulate or official immigration website, and again close to departure.
Reciprocity, entry, and departure fees charged by a destination are your responsibility.
Health requirements: vaccinations, proof of vaccination, and health declarations may be required. Consult a travel medicine provider and the CDC and U.S. Department of State country pages well in advance.
Non-U.S. citizens and permanent residents must independently confirm entry, transit, and re-entry requirements for every country on the itinerary, including the United States.
Any information we provide about documents or health requirements is offered as a courtesy and is not a substitute for official sources.
If you are denied boarding, entry, or transit for any documentation reason, you will be treated as a no-show under Section 7 and no refund is due. You are responsible for all resulting costs.
We recommend enrolling in the U.S. State Department’s Smart Traveler Enrollment Program (STEP) before departure.
11 Physical requirements, medical conditions, and accessibility
Some trips require a reasonable level of mobility and stamina. Expect long walking days on uneven ground, stairs without elevators, altitude, heat and humidity, long coach or flight segments, limited access to medical care in remote areas, activities on or near water].
You must be able to participate without requiring special assistance from us or from other travelers. If you require assistance, you must travel with a companion capable of providing it.
You must disclose in writing, at the time of booking, any medical condition, mobility limitation, dietary requirement, or allergy that may affect your participation or require accommodation. We will pass reasonable requests to suppliers but cannot guarantee they can be met. Some accommodations, vehicles, and sites for destinations are not accessible and are not required to be.
You are responsible for carrying an adequate supply of your prescription medications in original labeled containers, along with copies of prescriptions, and for confirming that your medications are legal in each destination.
By booking, you represent that you are physically and mentally fit to participate and that you have consulted your physician if there is any question.
12 Assumption of risk
Travel involves risks that cannot be eliminated no matter how carefully a trip is planned. These include, without limitation: illness and injury; limited or delayed access to medical care; road, air, rail, and water transport accidents; crime, theft, and civil unrest; terrorism; political instability; natural disasters and extreme weather; animal and insect encounters; food- and water-borne illness; altitude; heat; slips, trips, and falls on uneven or unfamiliar terrain; and the acts and omissions of independent suppliers and of other travelers.
You acknowledge that you have been informed of these risks, that you understand and appreciate them, that your participation is entirely voluntary, and that you knowingly and freely assume all such risks — both known and unknown — and accept full responsibility for your participation.
You are required to sign our separate Waiver and Assumption of Risk Agreement before travel. That agreement is part of your booking.
13 Limitation of liability
To the fullest extent permitted by law, and except where liability cannot lawfully be limited:
We are not liable for the acts, omissions, or negligence of any independent third-party supplier, or of any other traveler.
Our total liability to you for any claim arising out of or related to your booking is limited to the amount you actually paid to us for the trip.
We are not liable for indirect, incidental, consequential, special, punitive, or exemplary damages, or for lost enjoyment, lost time, lost wages, or missed connections.
We are not liable for loss, theft, or damage to baggage or personal property. Claims for baggage rest with the airline or hotel under their own terms.
Nothing in these Terms is intended to release, waive, or limit liability for personal injury caused by our own negligence in any jurisdiction where such a limitation is not permitted, including the Commonwealth of Virginia.
14 Traveler conduct and responsibility
You agree to comply with the laws of each destination, the reasonable instructions of trip hosts and guides, and the rules of each supplier; to treat fellow travelers, staff, and local communities with respect; to be on time for all departures; and to accept responsibility for any damage or loss you cause, payable on the spot.
If you leave the group or the itinerary for any period, you do so at your own risk and expense. We are not responsible for arranging your reconnection with the group.
Illegal drugs, and travel-disrupting intoxication, will result in removal from the trip under Section 8 with no refund.
15 Photography and media
We may take photographs and video during the trip. By participating, you grant us a non-exclusive, royalty-free, perpetual license to use images and video in which you appear for promotional purposes, including our website, social media, email, and printed materials, without compensation.
If you prefer not to be included, notify us in writing at help@s2destinations.com before departure and we will make reasonable efforts to honor your request.
16 Payment disputes and chargebacks
If you believe a charge is incorrect, contact us first at help@s2destinations.com so we can review it. We will respond within 7 business days.
You agree not to initiate a credit card chargeback or payment dispute for any charge that is properly due under these Terms — including a non-refundable deposit or a cancellation charge under Section 7 — without first giving us a reasonable opportunity to resolve the matter.
If a chargeback is filed and resolved in our favor, you remain responsible for the amount due plus any fees we incur, and we may cancel your booking under Section 7.
17 Privacy
We collect personal information necessary to arrange your travel: name, date of birth, passport details, contact information, emergency contact, dietary and medical information you choose to share, and payment information.
We share this information with suppliers as required to deliver your trip, including airlines, hotels, ground operators, and government authorities where required by law. Some of these are located outside the United States.
Payment card data is processed by Stripe and is not stored by us. See Stripe’s privacy policy at stripe.com/privacy.
We do not sell your personal information.
18 Communications
Confirmations, invoices, itinerary updates, payment reminders, and cancellation notices are sent by email to the address on your registration form. You are responsible for keeping that address current, monitoring it, and ensuring our messages are not filtered as spam. Notice sent to the address on file is deemed received.
19 Governing law and disputes
These Terms are governed by the laws of the Commonwealth of Virginia, without regard to its conflict-of-laws rules.
Any dispute arising out of or relating to these Terms or your trip shall be brought exclusively in the state or federal courts located in Fairfax County, Virginia, and you consent to the personal jurisdiction of those courts.
Any claim must be brought within one year of the date the trip ended or was scheduled to end, or it is waived, except where a longer period is required by law.
20 Severability and entire agreement
If any provision of these Terms is held invalid or unenforceable, that provision shall be modified to the minimum extent necessary to make it enforceable, or severed, and the remaining provisions shall continue in full force and effect.
These Terms, together with your registration form, your signed Waiver and Assumption of Risk Agreement, your written confirmation and invoice, and the terms of each supplier, constitute the entire agreement between you and us regarding your trip, and supersede all prior discussions, emails, brochures, flyers, social media posts, and oral representations.
Our failure to enforce any provision is not a waiver of it.
We may update these Terms from time to time. The version in effect on the date of your deposit governs your booking. We recommend saving or printing a copy when you book.
